Patient Alliance Office – Program Lead

The CMO Patient Alliance Office – Program Lead is the primary support for the CMO Strategic Initiatives Global Lead (Snr Dir): ensuring operational execution of strategic initiatives, including those related to Patient Focus and Bioethics. The incumbent will manage groups of related projects to obtain specific benefits (‘program’), leveraging global cross-functional teams to ensure the delivery of high quality outputs. The Program Lead must have demonstrable program management experience to ensure effective support for project initiation, planning, execution, monitoring, benefits and value realization, and close-out.
This role operates within a global matrix organization and is responsible for proactive collaboration with key stakeholders across all parts of the business, including CSL Plasma, Seqirus, R&D, Corporate, Commercial and Operations. The incumbent will be able to engage comfortably with senior leaders across the CSL business. The Program Lead has the ability to work autonomously with a strong customer focus and ability to build and maintain relations with stakeholders and team members of all levels across the CSL group.
Program Management - Responsible for monitoring and maintaining oversight of CMO strategic initiatives, which may take the form of projects or other activities. The Program Lead will collaborate with project leads (where established), sponsors and stakeholders to ensure that the initiative requirements and constraints are fully developed and documented, by providing the framework and program level oversight. This includes routine status updates (formal and informal), identification potential gaps and interdependencies, issue and risk identification and escalation and, preparation of consolidated material for governance meetings. The Program Lead is responsible for preparation and management of annual budgets, long range financial projections, timelines, scope documents and other related documentation. The Program Lead may be responsible for specific projects relevant to the overall program, including for example those related to delivery of benefits and value realization.
Governance Development and Management - Maintain oversight of progress of cross-functional work streams through establishing and managing appropriate governance structures. Acts as the conduit between work-streams and CMO Strategic Initiatives Global Lead to prepare for governance meetings and enable effective governance of initiatives. Implements and contributes to the design of appropriate governance structure to ensure successful execution of projects and management of risk. Facilitate sharing of cross-functional learnings and identify where closer integration may provide significant value.
Process Improvement and Implementation - Actively participate in the identification of process improvements, design of those improvements and potentially lead the implementation of new processes and process improvement initiatives designed to improve the efficiency and effectiveness of CMO strategic initiatives.
Stakeholder and Team Liaison - Responsible for generating reports to key stakeholder groups, including the Patient Focus Steering Committee and other governance bodies as established. As the central point of contact for initiative oversight in a range of CMO programs, active participation in project teams is required. Works closely with consulting partners and service providers to ensure delivery of initiatives and effective management of those external relationships for mutual benefit.
Support of the CMO Strategic Initiatives Global Lead - Support the CMO Strategic Initiatives Global Lead, including
Develop related materials for internal presentations, training activities, infographics
Research new legal, regulatory requirements and industry trends for emerging areas of interest and potential new initiatives. Understand and analyze potential impact to CSL, identifies action required, and communicates needs to CMO Strategic Initiatives Global Lead.
Coordinate meetings, prepare agendas, follow up on action items, develop meeting presentations
Assist development and execution of legal agreements
Ownership of the CMOnet Patient Focus SharePoint site and similar sites to support initiatives, Governance Committees, the initiative teams and wider CSL.
KPIs and Metrics - Monitor and be responsible for ensuring tracking of KPIs to ensure positive return on investment: ensuring realization of both qualitative and quantitative benefits to the program. Generate appropriate budgets and monitor expenditures, recommending any revision of spending as needed. Provide periodic reports, analysis and presentations to CMO Strategic Initiatives Global Lead and relevant governance bodies.
Agreement Management - Responsible for managing agreements with consulting and other partner organizations, including contract and invoice management to ensure delivery in accordance with budget, timelines and requirements.
Budget Tracking - Track and manage activities and costs for cost center reporting to support planning and prioritization of resources and projects.
Qualifications and Experience
Required: Bachelor’s degree in a scientific/medical/pharmaceutical discipline is required.
Other commensurate qualifications and/or related experience in industry considered if equivalent.
Preferred: Advanced degree (MSc, PhD) in Science, Public Health, MBA or equivalent.
Demonstrated expertise in program and or project management and understanding of change management
Sound understanding of the entire drug development process, from early development to clinical development, through approval and into market availability.
Demonstrated success working with cross-functional, virtual teams and global initiatives within a matrix organization.
Demonstrated ability to work independently and as a member of a team
Proficient in the use of SharePoint and Microsoft Office (ability to use MS Project is desired)
